01 · Start here
Choose your planner or coordinator
Your planner can help shape the timeline, guest experience, access plan, vendor team, setup and cleanup. Ask about availability, experience with outdoor events, and whether they can work within the estate’s current access and quiet-hour requirements.

02 · Protect the event
Settle your event insurance early
Ask for event liability coverage with at least $1 million per occurrence and $2 million aggregate. The first number is the most the insurer will pay for one covered incident; the second is the most the policy will pay across covered claims during its policy period.
Ask the insurer to name Alabaster Estates as an additional insured and send the certificate of insurance to the venue before the deadline in your agreement. If you also want protection for non-refundable deposits or postponement, ask about wedding cancellation coverage separately.
These are starting points for your conversation with an insurance professional, not a promise that a particular policy covers every loss. Compare the actual policy, exclusions, deductibles, state availability and certificate language.

03 · Build the team
Then choose the rest of your vendors
Once your planner and insurance are in motion, work through food and catering, rentals and décor, photography, videography, music or DJ, florals, hair and makeup, bar service, transportation, cake and desserts, and officiant services.

04 · Finish the plan
Confirm the day-of details
Use your planner to confirm the guest count, timeline, arrival and departure plan, power, restrooms, weather plan, vendor insurance, setup and cleanup responsibilities, and the final certificate of insurance before the event.
